Falcon is delighted to report on its highly successful implementation of a range of document solutions for innovative London-based commercial property rentals company, Workspace Group. Workspace Group, which has established itself as the leading provider of flexible and affordable office/commercial space in Greater London has benefited from a range of Falcon document solutions, both for its own staff at Workspace HQ as well as its many clients at the exciting new Club Workspace drop-in style office centres. A consistent requirement for all implementations was impressive document security, which Falcon, in conjunction with its various technology partners, was able to ensure across each of the sites. In line with Workspace's environmental commitments, as well as providing greater security, functionality and flexibility, the new Falcon document solutions should significantly reduce paper waste and environmental impact going forward.

For anyone requiring flexible, affordable and interesting commercial space in London, the Workspace name will likely be a familiar one. Workspace as an organisation prides itself on offering a whole gamut of property types and sizes for whatever the business requirement - right across the capital and at a range of affordable price-points. Falcon's relationship with Workspace began some years ago with the supply of a number of rented Canon MFP's at the company's Whitechapel headquarters. At the time of this first installation, the priority had been good local availability of both colour and black and white printing and copying throughout the company premises as well as easily accessible scanning. Meeting these needs, Falcon supplied a number of highly reliable Canon workgroup colour MFPs across the company's four floors which were supplemented by smaller desktop black-and-white printers where required. Falcon also equipped several of Workspace's commercial centres with office/reception document printing, scanning and copying facilities.

With Growth Came Challenges and Opportunities

With Workspace Group's incredible success over the last few years, the organisation has grown and seen its portfolio of properties develop considerably. For Workspace Group employees themselves, the past year has seen a move into a new open-plan style office space. And for the company's management, this represented a golden opportunity to consolidate printing devices - providing the potential for reduced costs, tighter security and a lower overall environmental impact. In close coordination, Falcon worked with Workspace to find the right solution for the company's new premises and its ongoing organisational needs. Both Workspace and Falcon were mindful that while a high-tech solution would likely reduce costs and allow greater monitoring and controls going forward, true to the Falcon brand, the eventual deployment would also have to be as simple or ideally even simpler for users and adminitrators to operate than the existing Workspace setup. After considering the various options, Falcon recommended the installation of several medium-sized colour MFPs in conjunction with the Canon uniFLOW 5.0 document workflow solution. The Canon imageRUNNER Advance C5051i MFP's provide highly reliable colour/monochrome printing, copying and scanning as well as impressive high productivity (51ppm copy/print) - meaning they can be depended on by more users than the lower output devices they've replaced. In order to ensure secure access to the new MFPs, Falcon was able to work with Workspace's current employee door access fobs and install compatible fob readers on the devices. This had the advantage not only of ensuring that access could be restricted to authorised employees only but that any unecessary printing could be significantly reduced. Only when individuals present their fobs at devices can jobs be effectively 'pulled' from the MFPs, meaning any sensitive information will only ever be printed in the presence of an intended recipient and documents that are 'ordered' but not 'pulled' from a device, will never see the light of day. Canon's uniFLOW workflow solution also provided Workspace with the ability to set double-sided and black and white printing as a default for all users and gave administrators easy-to-use access to monitoring and reporting capabilities.

While the new solution has required a certain level of gradual and careful cultural change at Workspace HQ, initial indications are that both document confidentiality and paper consumption have been significantly improved.

In addition to the company's headquarters, Workspace had a requirement for its new Club Workspace 'drop-in' style commercial hubs. Club Workspace is a highly innovative solution which provides the most flexible commercial rental arrangement the company has been able to offer to date. For clients looking for swing space between offices, overflow offices or a first-step solution from working at home for example, a monthly membership fee entitles customers to make use of great office space at locations across the capital. To meet the needs of this new offering, Workspace required a document solution which would allow Club Workspace members who had paid a supplementary charge for the use printing facilities to benefit from the latest, high quality Canon printing, copying and scanning functionality. To determine the best solution, a team of Falcon and partner specialists met with Workspace management so that all parties could properly understand the requirements as well as the full technological possibilities. Again, Club Workspace had already been issuing its members with magnetic cards for door access and so Falcon needed a solution that would work alongside this existing technology. In conjunction with its partners, Falcon was able to provide an ideal solution. At each Club Workspace site, a compact Canon IRC2380i MFP was installed, providing a winning combination of small device footprint, high functionality and productivity and low running costs. Each of the MFPs was loaded with the award-winning Pharos software solution along with robust card readers to provide secure, user-authenticated access control. As had been the desire from the outset, the system ensured only fully subscribed members could access document facilities at all Club Workspace sites.
